Program Assistant (AMS/Logistics)

Highlight is seeking a detail-oriented Program Assistant to provide high-level administrative support to USAID’s Bureau for Policy, Planning and Learning (PPL), which develops the policies and strategies that guide USAID’s worldwide mission to support countries on their Journeys to Self-Reliance.


The Program Assistant (AMS/Logistics) will provide technical support to the Bureau for Policy, Planning and Learning’s (PPL) Administrative Management Services Team (AMS) in order to facilitate the effective achievement of all PPL priorities. You will provide direct support to the Staffing sub-team in multiple areas of focus including staffing, recruitment, human resources management, and various administrative processes.


  • Plans and coordinates office moves, office construction, and other facility improvements that require coordination of property, services, and facilities such as furniture, equipment, telephones, and short-term storage.
  • Reviews, tasks, and tracks a variety of technical documents, which are received from USAID Bureaus and Independent Offices (B/IO) as well as from within the interagency.
  • Manages a shared, well-organized electronic filing system, including document tracking, records library, and other electronic files as needed. Keeps filings up-to-date and regularly assesses organization and usability; makes recommendations for changes or improvements as needed.
  • Performs outreach and communication with internal, and some external, stakeholders both orally and in writing.
  • Drafts correspondence, recommendations, reports, and memoranda related to management and administrative programs and issues, as assigned.
  • Manages the inventory of equipment/property and directly supports office operational services. (i.e. IT hardware and software, telecommunications, copiers, office supplies, etc.).
  • Coordinates development of requirements for specialized supplies and services in consultation with contracting and procurement staff.
  • Supports efforts to coordinate PPL responses to requests from the PPL Front Office and other Bureaus. Ensures all briefers are complete, properly cleared, error-free, and submitted in a timely fashion.
  • Supports staff in communications with persons and groups from both within and outside
  • USAID in written correspondence, as assigned.


  • U.S. Citizenship.
  • Active Secret clearance.
  • Previous experience coordinating office moves.
  • Bachelor’s degree.
  • 2 or more years of experience working in a related position.
  • International relations background.
  • USAID experience preferred.
  • Relationship management experience and ability to work under short-term deadlines.
