Administrative Assistant

Highlight Technologies is seeking a full-time Administrative Assistant to support the Office of Grants Management and Office of Head Start Services within the Administration for Children and Families (ACF).


This role performs administrative and professional support related to the grant award, oversight, and programmatic administration of discretionary grants.  Specific responsibilities include:

  • Provides direct administrative support, which includes calendar management and scheduling, preparation, and compilation of meeting materials, providing logistical support for meetings, and any other administrative support requested.
  • Performs note-taking, drafting, and circulation of meeting minutes.
  • Edits and drafts correspondence, recommendations, reports, and memoranda.
  • Manages a shared, organized electronic filing system.
  • Reviews, tasks, and tracks a variety of technical documents.
  • Applies administrative policies, maintains various systems and databases, and handles other staff requirements.
  • Performs outreach and communication with internal and external stakeholders both orally and in writing.


  • Ability to obtain a Public Trust suitability.
  • A minimum of a BA or BS degree from accredited college or university, preferred.
  • A minimum of three years of experience providing administrative support to project and/or contract management team and staff.
  • Experience aggregating data and producing reports based on multiple data sources.
  • Demonstrated proficiency in Microsoft Office Suite or similar applications.
  • Experience with event/project coordination and planning, correspondence, travel arrangements, preferred.
  • Experience communicating, both orally and in writing, to various audiences.
  • Demonstrated experience managing multiple tasks and ability to prioritize work.
  • Familiarity with Federal operations and regulations.
