Overview

We have a great opportunity to join Highlight at our Fairfax Office. We are looking to hire an enthusiastic, self starting Administrative Assistant to support HQ.

Responsibilities

  • Assist with maintaining spreadsheets.
  • Uploading content to SharePoint.
  • Manage contracts and price negotiations with office vendors and service providers, and consistently work with vendors to maintain a rotating schedule of consistent and healthy snacks and beverages in office kitchens.
  • Collaborate in employee engagement activities (holiday decor set up, manage monthly newsletter, gather nominations for employee of the month awards, and others).
  • Assist in coordinating with and assisting event planners with office events and meetings.
  • Plan meetings, take meeting minutes and accurately enter data.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Provide general support to visitors.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
  • Handle requests and queries appropriately.
  • Other duties as needed.

Qualifications

  • U.S. Citizen.
  • Professional, organized, personable, dependable and friendly demeanor.
  • Working knowledge of MS Office.
  • Comfortable juggling multiple projects with varying deadlines, and have a proven track record of executing tasks.
  • Attention to detail and have the highest standards for your work.
  • Demonstrated ability to identify, evaluate and implement new processes.
  • Must be able to lift 20 pounds and be comfortable spending part of the day on your feet.
  • Excellent at time management and able to balance long term and daily tasks when faced with frequent interruptions.
